SUMMARY

 

The Human Resources Representative is responsible for performing various HR-related administrative duties and employee recruiting functions in support of the HR Department. This position assists with payroll processing, recruiting/hiring, helps maintain personnel files, tracks medical leaves, administers and maintains the Nationwide Mortgage Licensing system and responds to employee reference checks and verification of employments.  The HR Representative administers our Worker’s Compensation program, Employee Service Award and Star Award programs.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

Responsible for promotion and delivery of quality internal and external customer service.

 

Manages payroll administration. Creates and verifies bi-weekly time card reports and resolves any time and attendance issues in accordance with related policies. Verifies bi-weekly payroll change report prior to payroll processing. Processes payroll. Creates 401(k) report, monthly Overtime report, and various other payroll reports.

 

Assists department supervisors in the development of recruiting strategies to fill open positions. Creates, posts and maintains job descriptions and advertisements for open positions and ensures consistency across all postings, screens potential candidates via phone interviews and/or in person, provides potential applicants with information on job opportunities, utilizes internal applicant tracking system to review applications and maintain candidate progress, performs reference and background checks on applicants, collaborates with the Director of HR to determine compensation offers and communicates with management, notifies applicants of employment decisions and manages the Culture Index Assessment tool.

 

Contracts with temporary employment staffing agencies, verifies billings, compiles reports.

 

Prepares and transmits protest of unemployment claims, as appropriate.

 

Responsible for maintenance of employee personnel files. Ensures all personnel papers and documents are filed into appropriate employee files and maintains filing on a weekly basis. Assists with maintaining record retention controls.

 

Responds to reference checks and verifications of employment.

 

Administers and maintains Nationwide Mortgage Licensing System (NLMS) for all applicable personnel.


Tracks medical leaves and enters FMLA records into ADP.


Administers worker’ compensation program. Reports, maintains and monitors all case files. Coordinates with employees and third-party administrators and follows up on claims.

 

Processes Employee Service Awards.

 

Processes tuition reimbursement request forms and volunteer time-off request forms.

 

Orders flowers from approved third party vendor as requested and approves billing.

 

Assembles new hire packets and assists with new hire orientations as requested.

 

Answers and resolves employee questions. Provides information and forms as appropriate.

 

Helps to maintain Company logo wear.

 

Assists in development and communication of human resource policies and procedures.

 

Develops and sends out staffing bank-wide e-mail announcements.

Assists in the Bank’s onboarding process.

 

Provides clerical and operational support to other human resource staff.

 

Maintains high standards of confidentiality of all employee records and information.

 

Complies with all applicable banking laws and regulations, including, but not limited to, the Bank Secrecy Act, USA Patriot Act, and related anti-money laundering statutes; and, federal consumer protection legislation and regulations.

 

Performs special projects as needed.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); plus one to three years of payroll, recruiting and office/clerical experience. A bachelor’ degree in human resources; one year of HR administrative experience or an equivalent combination of education and experience preferred.
